The majority of people think that 1-on-1 meetings are a routine check-in, a time to show up, answer a few questions, an administrative burden, and a way to get back to work. But if you want to become an effective employee or a manager, you need to flip the script.
IMHO, a 1-on-1 isn’t actually your manager’s time with you; it is your time with your manager. It is your chance to ask for assistance, provide proactive updates, and get aligned with priorities. Managing your stuff like this will not only help you work more effectively but also leave a lasting impression.

A Simple Structure for Effective 1-on-1 Meetings
Preparation: The 15-Minute Rule
The structure for a great 1-on-1 meeting conversation is prepared before the meeting even starts.
- Block 15–30 minutes the day before your meeting to prepare.
- Set the agenda early. Send your talking points in advance so your manager can prepare as well.
- Use a shared document. Organize all your stuff in one place, like on Word or in a shared folder, so you can see how far you’ve come. (Tip: You can @mention the manager to provide FYI to allow him or her to review your agenda items in advance)
Personal Contacts and Profile Info
Create a section on top that is only shared with your manager that lists the information about how to contact you in case of support or an emergency.
Use this section to list your info, profile links, contact, certification info, and key links. Keeping this on top of the document will continue to help you both to find the key information at your fingertips in one simple document.
The 4-Points Agenda Template
To keep your 1-on-1 meetings efficient, use a simple, repeatable structure. Here is the template used to stay organized:
1. Account & Opportunities Work Updates
- Provide a brief overview of your current accomplishments and challenges on the accounts or project you are working on
- Share your “impact slides” or data that shows the value of your work.
- Put any ask or support you need from the team or the manager.
2. Projects Updates
- Discuss the extra projects you’re in charge of and share the high-level progress
- Share any concerns or ask, or provide any help you need.
3. Administrative Updates (Training / VTO / PTO, etc.)
- Discuss any certification, training, or leadership meetings you’ve been to, and what you learn
- Proactively share what upcoming planned time off you have and how it will provide backup for you. Don’t wait for the last moment and proactively use this agenda item to remind or share with your leader as time comes closer.
- Don’t make your manager hunt for your schedule; have it right there in the document.
4. Next Steps / Action Items
- Always capture the action items that you need to follow up on or deliver in the next meeting.
- You can use these next meeting agenda items or status update.

Use those to your advantage and focus on meaningful conversations during the meeting, rather than taking notes. Having a planned agenda and discussion items helps you organize your thoughts and provides proactive information to your manager.”
PTO Schedule Sections
- Keep a clear record of your planned time off proactively (even tentative) to help your manager support you.
- Also, have a proper support coverage plan detailing who will be supporting your work, where your manager needs to provide coverage, or anything he or she needs to worry about when you are out.
- Depending on your company benefits, update each section like Paid Time Off (PTO) or Volunteer Time Off (VTO), Sick Time Off (STO), or Floating Holidays Planned (FTO) or Company Holidays
PTO Tip: “Every beginning of the year, put a tentative plan in your 1-on-1 meeting document section and have the conversation with your leader. Update it or confirm it proactively as time comes closer and you are solid on the dates.”
Important Resources Sections
Use this section to keep track of important documents and resources that benefit you and the leader. This list helps you have one place to see the index of resources and access them as needed.
This list could include links to the company portal, personal development doc, ramp-up sheet, onboarding documents, project links, quarterly check-in docs, and annual performance documents.
Tip: “Staying organized and having access to information available at ease will benefit you in the long run.”
Things to Avoid
- Don’t wait for the manager to lead: If you wait for your manager to lead, you miss out on the chance to grow your own career.
- No documentation: People easily forget things that aren’t written down. (Use AI Tools for your benefits)
- Lack of transparency: Always use the “Important Links” section of your template to keep your managers connected to your LinkedIn profile and key project files or important documents related to your performance or accomplishments.
- Showing up to the meeting with a blank agenda or nothing to discuss. This is your opportunity to build relationships and show your impact in the organization to your manager.
